Property Management Service Agreement

At Wyse our Standard Service Agreement covers any mixed-use complex or residential apartment block. Additional services can be provided with the approval of the board.

Wyse Standard Service Agreement

Financial and Legal

  • Preparation of Service Charge Budgets and Sinking Funds
  • Apportionment and collection of Service Charges – for new developments, practical completion dates are agreed with developers
  • Manage collection of service charge arrears
  • Advise on insurance matters and handling claims through the Management Company's broker
  • Payment of wages and dealing with PAYE and PRSI for management company employees.
  • Checking, approval and payment of suppliers' invoices
  • Book-keeping, accounting, maintaining bank accounts and reconciling statements in compliance with accounting standards.
  • Preparation of reports for management meetings to keep board informed on all financial matters including sinking fund transfers
  • Liaising with auditors and issuing of Auditor's Report and Financial Statements to owners
  • Liaison with the Management Company's solicitors and other professional advisors

Repairs and Maintenance

  • Routine Inspections of complex by Managing Agent's personnel, frequency of inspections dictated by ongoing activities.
  • Arranging Routine Repairs and Maintenance of Common Areas and getting Board approval for extraordinary or capital expenditure
  • Arrange and oversee maintenance agreements for lifts, plant and machinery, security including access systems, fire safety, emergency lighting etc. in compliance with Health and Safety Legislation
  • For new developments, engaging, competent Building Surveyors on behalf of the Management Company – To deal with all common area snagging issues from inception to conclusion. The surveyors report and liaise directly with Management Company's directors and developers

General Administration & Board Support

  • Attend 4 scheduled board meetings and the Annual General Meeting
  • Advising the board of directors/management committee generally in relation to Lease Agreements and management covenants
  • Issuing information and advices to new owners
  • Obtaining emergency contact details of all home-owners
  • Attending to telephone enquiries and correspondences from owners and residents
  • Engage car park management contractors as required

Additional Services

Financial and Legal

  • Dealing with specific breaches of House rules and breaches of covenant – Liaising with Lessee/Landlord in respect of such breaches.
  • Preparing Health & Safety Statements and annual Health & Safety Reports
  • Dealing with local authority and adjoining property owners, including planning appeals and engaging appropriate professionals to assist in such projects as required
  • Making annual returns of Forms 46g and CT1 to Revenue
  • Legal and Archive Document storage – Secured storage in fireproof facilities
  • Liaising with and assisting Gardai in respect of any on-site issues that require the Management Company's involvement and keeping the Board fully informed of such issues

Repairs and Maintenance

  • Removal of abandoned cars and vehicles – subject to Board approval
  • Fire/Water damage of significant nature – Site attendance, meetings with Insurers, Surveyors and Contractors. Handling all correspondence in relation to claims
  • Liaising with Surveyors/Insurers on buildings reinstatement valuations for insurance purposes – Assist in providing all relevant drawings/specifications as available
  • Project manage major upgrades, refurbishments and new works – Negotiate terms of engagement and agree scope of works and approve payment

General Administration

  • Attendance at unscheduled Board/Committee meetings – EGM and other special meetings.
  • Responding to requisitions on management company in respect of re-sales
  • Assisting Neighbourhood Watch, Resident Associations and Community Projects - Such as distributing newsletters and other circulars
  • Recruitment and preparation of job description for Management Company employees such as janitors and caretakers.
  • Providing Company Secretarial Service
  • Providing 24 hour emergency service
  • Postage and other sundry disbursements
